Terms and Conditions

RATES All rates are expressed in US dollars and are subject to change with no previous notice. The rate of the tours and programs is per person upon a double occupation basis, unless different conditions are specified. The rates expressed on the hotels lists are per room.

Programs

All the programs are carefully planned, however, due to operational reasons, it may be necessary to change the order of the different activities or the route specified in the itinerary. These changes are not usual to happen, nonetheless, the itinerary should be considered as a basic guide of the program.

Flight Tickets

Flight tickets prices go according to availability and can be changed without previous notice until they have been issued. Credit card expenses are included here. The flight schedules and flight numbers can be changed on behalf of the airline company. Certain restrictions are applied, for instance, lost tickets cannot be refunded and they go under restrictions imposed by the airline company.

Hired Tours – 1 or more passengers

Due to the nature of the programs and the intervention of different local suppliers, such as carriers, guides ,entrance to the archeological sites and natural parks, our cancellation policy is strict, which ensures our departures and the success of our services at competitive prices.

1. Deposit requirement

You are required to pay a non-refundable deposit of 30% per person per trip for your booking to be confirmed. If your booking is made within 56 days of the departure date then the full amount is payable at the time of booking.

2. Acceptance of booking and final payments


If we accept your booking we will issue a confirmation invoice. A contract will exist between us from the date we issue the confirmation invoice or if you book within 30 days of departure the contract will exist when we accept your payment. Please refer to your booking confirmation invoice for details regarding final payments. Payment of the balance of the trip price is due 56 days before the departure date. Please note that full payment is required earlier for Polar and Adventure Cruising bookings. If this balance is not paid on or before the due date we reserve the right to treat your booking as cancelled.

3. Your details

In order for us to confirm your travel arrangements you must provide all requested details with the balance of the trip price. Necessary details vary by trip; they include but are not limited to full name as per passport, date of birth, nationality, passport number, passport issue and expiry date and any pre-existing medical conditions you have which may affect your ability to complete your travel arrangements. On some more demanding trips we also require you to complete and forward a Self-Assessment form. Failure to provide requested details may result in additional charges or non-refundable cancellation of your trip.

CANCELLATIONS AND REFUND

All reservations require a non-refundable per person deposit (30%). THE DEPOSITS ARE NON-REFUNDABLE. Also, cancellation penalties imposed by hotels, and other providers are nonrefundable. Cancelled bookings may incur charges of up to 100% of the cost of the booking.

If you cancel your reservation, your right to receive a refund is limited, as set forth in the following schedule:

  • 91 days or more prior to departure: Total paid except the deposit.
  • 90 to 45 days prior to departure: 50% of total price is non-refundable
  • 44 days prior to departure: 100% of total price is non-refundable

The no presence of (a) passenger(s) will give place to the total loss of the hired service and NO refund will be given.
Likewise, if the hired services are cancelled during the tour itself, NO refund will be given.
Certain services might be interrupted or even cancelled due to weather conditions acts of God, or disturbances. These are out of the control of hotels, airlines, service suppliers, Inka Wasi Travel Service or its partners and NO refund will be given as a result of them since such interruptions and cancels go beyond our control.

Travel Protection.


This reservation does not include Travel Insurance. New Inka Wasi Travel recommends that you purchase a travel insurance to help protect you and your travel investment against the unexpected. NEW INKA WASI Travel is not an insurance company and has no responsibility for the representation, description of coverage, submission, binding coverage, payment or adjustment of any insurance claims. Any insurance claims that may fall under the relevant travel insurance policy must be submitted to the insurance company identified in the policy.

Responsability

In all the arrangements of travel, Inka Wasi Travel Service acts on behalf of its clients organizing on their names, the means of transport, accommodation, and other requested tourist services. Hence, we do not take any responsibility in case of accidents, delays or interferences to the tour, which are out of our reach; especially regarding programs and schedules. This shall be considered of great importance.
In the same way, our company does not take any responsibility due to illnesses, physical or mental impediments which may disturb the health or integrity of the passenger(s) or others during the tour or when our services are being provided. In the light of this, our company will not recognize any claim or refund due to the concepts mentioned above. This includes the cases which in normal conditions do not show any problem.
Thus, we require to be informed, before our services are hired, of any restrictions mentioned above in order to make the suitable decisions to ensure the quality of our services.

Inka Trail Program Cancellation & Reinbursement Policies


  • When booking the Inca Trail due to the strict rules imposed by the national Institute of culture.
  • There are no refunds, date changes, nor name changes.
  • Your absence will result in a 100% loss.

Choquequirao and Salkantay Trekking Routes Cancellation & Reinbursement Policies


  • If a cancellation is made 30 days or more prior to the beginning of the trekking route, the penalty will be 50% of the total amount.
  • If a cancellation is made 15 days prior to, or even the same day of the beginning of the trekking route, the penalty will be 100% of the total amount.
  • If during the length of the trekking route the traveler abandons the excursion as a decision made by themselves, NO reimbursement will be made and no claim will be accepted.

Taylormade Tour and / or Private Tours


Cancels and Refunds - All cancels and refunds shall be sent on a written document which must include the most important information, so that they can be addressed immediately.

  • 90 to 40 days prior to departure: 50% of total price is non-refundable
  • 39 days prior to departure: 100% of total price is non-refundable

Likewise, if the TaylorMade tour / Private tour are cancelled during the tour itself, NO refund will be given.
